LETTER WRITING
        A letter is written to tell something to somebody who is at a distance from the writer. Thus' it is a substitute for talk. It has been rightly said that the interchange of letters is "the meeting of hearts." Hearts undoubtedly meet hearts in correspondence. 

What is the use of Letter writing?
        In modern times every educated person should know how to write a clear and readable letter. Everyone sometimes feels the necessity of writing Official letters or Business letters of some sort. He/She may have to face the problem of writing an important Personal letter that would vitally mould his/her interests in life. Hence letter writing is a necessity. It is also an art. But whenever we sit down to write a letter, we realize that writing a good letter
is not an easy job and it needs careful practice.

What is the art of Letter writing?
            The art of letter-writing is a very important form of composition. Every literate person has to write letters for various purposes to friends, relatives' businessmen and official superiors. The art of letter-writing is, therefore, not mere ornamental accomplishment, nor it is a purely academic affair. It is something that every educated person must acquire for practical reasons. The complexities of modern life, our innumerable contacts with all sorts and conditions of people have multiplied a hundredfold the necessity of writing letters. 
          The ability to stand in the reader's shoes is one of the secrets of successful letter-writing. Failure to look at the things from the reader's angle is one of the reasons why letters so often fail to serve their purpose. So we may say that the ABC of Letter-writing are:
A - Accuracy; 
B - Brevity; 
C - Clarity.

TYPE OF LETTERS
Letters are mainly of four types : 
[1] Personal letters
[2] Business letters
[3] Official letters
[4] Miscellaneous letters

However, there are some sub-sections of these four types:
1. Private Letters or Personal Letters. 
2. Application
3. Social Letters. 
4. Business Letters. 
5. Official & Demi-official Letters 
6. Letters in response to the advertisements. 
7. Letters to the Editor of a newspaper. 
8. Circular Letter or Notice & Draft.


APPLICATION FORMAT / SCHOOL LETTER FORMAT 
ALL PERSONAL/PRIVATE LETTERS 

Classification of Letters:
Letters may roughly be divided into four classes:

1. Private or Personal letters: Private or personal letters are written to friends and relatives on private matters. Such letters are written in an easy and simple style. Cowper wrote to his cousin, "When I read your letters, I hear you talk." A good private letter should make this impression. It makes the receiver think while reading it, that he is in the company of the sender. For the moment time and distance are obliterated, and thus, through the medium of letters, those dear to each other are brought together in thought and enabled to revive old memories, old affections. Letters of invitation, congratulation, condolence are also classified as private letters.

2. Business letters: Business letters are written on business matters. Time is money in business and one should, therefore, confine oneself rigidly to the matter in hand; no room should be given for vagueness of meaning or ambiguity due to incompleteness or indefiniteness. Such letters should be brief, precise, concise and courteous in tone.

3. Official letters: By official letters, we generally mean those letters which are written by persons in their official capacity. Official decorum and courtesy must be maintained in such letters.

4. Miscellaneous letters: These include applications for a job, petitions for the removal of a grievance, letters of complaint, letters to newspapers etc. These may also be regarded as official letters.

Parts of Letter:
There are six parts of letter:

1. The heading consisting of the writer's address and the date.
2. The courteous greeting or salutation.
3. the body of the letter.
4. The courteous leave-taking.
5. The signature.
6. The superscription or outside address.

How to write the contents of Personal Letters?
               To write a good personal letter you must take a direct approach. You must write in such a manner, as if, the addressee is in front of you and you are talking with him or her. A letter written in this manner reduces distances and preserves one's presence in the letter. So, try to write personal letters with a touch of familiarity and express your thoughts and feelings properly. Such letters can bring friends closer in intimacy, inspire love and understanding, enrich social relationships, increase popularity and provide a successful means of self-expression. The simple, homespun words of everyday speech are usually more vivid, expressive and forceful than the bookish, high-sounding but lifeless words which many people prefer to use in their letters to make them gorgeous.

Note: The first letter of Father, Mother, Uncle, Aunt, ete. are usually capitalised in salutation. No full stop or punctuation mark is used after Signature. In American style the Leave-taking Signature are used in left-hand side and in the British style these are used in right-hand side.

In this connection, it should be noted that the subscription must be in harmony with the salutation as given below:

To relatives
Salutation: Dear father, My dear Father, Uncle, brother, mother, aunt, sister. 
Subscription: Yours affectionately, Yours lovingly, Your loving son or brother or sister,

To friends
Salutation: Dear friend, My dear friend, My dear Ramesh, Dear Ramesh
Subscription: Yours sincerely,  Yours truly,

To Offices
Salutation: Sir,
Subscription: Yours truly, Yours obediently,

To businessman or firm
Salutation: Sir, Dear Sir, or Gentleman,
Subscription: Yours faithfully,

To strangers
Salutation: Sir,
Subscription: Yours faithfully,

To an acquaintance
Salutation: Dear Sir,
Subscription: Yours truly.

SOME COMMON ERRORS IN LETTER WRITING

1. Please write to me how are you?  (Incorrect)
   Please write to me about how you are.   (Correct)

 2. Your sincerely. (Incorrect)
    Yours sincerely, (Correct)

3. Yours loving friend. (Incorrect)
   Your loving friend,  (Correct)

4. Your's faithfully. (Incorrect)
   Yours faithfully,  (Correct)

5. Your ever. (Incorrect)
   Yours ever, (Correct)

6. Dr. (name) and Ph.D./D.Sc./D.Lit./M.D.  (Incorrect)
    Use Dr. and name. (Or) Name and Ph.D./D. Sc./D. Lit. etc   (Correct)

7. Biswas & Co  (Incorrect)
   Messers Biswas & Co.   (Correct)

8. Messers Calcutta Publishers.[Messers is used in case of the personal name of the company]  (Incorrect)
   Calcutta Publishers. [Messers is not used in case of the impersonal name of the company]  (Correct)

My dear Pushpa,
                        I have just received your letter containing a very interesting description of the New York Book-Fair. It made me feel as if I had been walking through the fair along with you. You have asked me to tell you about the book-fair in Kolkata.
                In fact, holding book-fairs is rather a new concept in India but nowadays book-fairs are held in almost all major cities in India. However, the largest and the most important one is organised in Kolkata by the Publishers & Book-sellers Guild every year since 1976. Last year I visited the Kolkata Book Fair which was held at the Maidan, the usual venue for any fair or exhibition organised in the city. There were about five hundred book-stalls and thousands of books were displayed. It was a good opportunity to see a wide range of books on various subjects from all over India and abroad. Book-lovers crowded in the stalls to make their choice and buy books. The main objective of the organisers was not only to sell books but to display them-rare books and books of foreign publication in particular. Moreover, many new books were released during the fair.
             I was tempted to buy many books, but with my very limited budget, I could afford only a very few. I collected catalogues from a good many publishers to buy books in future Indeed, a book-fair spreads the message that books are 'Our never-failing friends' and 'Companions that enlarge our vision' and 'Make our life more meaningful'.

My dear Henry,
                          You must have been very angry with me for my delay to respond to your queries about my choice of profession in future/about my aim in life/about the course of studies I would
like to follow after passing the H. S. Exam.
                         It is not an essay matter to decide the right one. Of course, many people have no definite aim in life. They are like ships without rudders and without goals. But a man who wishes to succeed in life must have a definite aim in life. Now I have to be prepared for the Joint
Entrance Examination as my aim in life is to be a doctor. It is a noble profession. However. I have chosen it as my aim in life for more than one reason.
                        More than eighty percent of people in our country live in villages. They suffer from various diseases for ignorance, poverty, malnutrition and want of proper sanitation. But the hospitals and the doctors are very few in rural areas. 

                       Most of the doctors hanker after money and honour and they prefer cities and towns to villages as their fields of practice. As a result, many people of the villages die like cats and dogs without proper treatment and medicine. For all these reasons I like to be a doctor in future to serve the suffering humanity. My motto in life would be "To serve man is to serve God."

Dear Richard,
                       You know a poor or a developing country has many problems and it is not always
possible for the government alone to solve them
.
                       Here we, particularly the educated youth, live under a sense of dreaded despair. This
is for the problem of unemployment even after passing the final exams. Thousands of
educated youths come out of the institutions annually with only very bleak prospects before
them. They wait and wait for any suitable job and finally become the victims of frustration
and erosion of moral values. Sometimes they become anti-socials and revolt against the
system of so-called education. But no government can provide sufficient jobs for all the
educated youths year by year.

                     We say that the youths are the future of the country and it becomes a matter of bitter
a joke when we see that millions of young men and women-the torch-bearers of the future!
remain unemployed. But mere criticism does not make any remedy. We should get into the
root of the problem. Our educational system should be revised with due importance on
vocational training so that our educated youths are provided with self-employment schemes
with the sense of the dignity of labour.
